These terms and conditions (the ‘Terms and Conditions’) govern the let of any property (collectively the ‘Properties’ each a ‘Property’) managed and/or advertised by Menai Cottages and having their trading address and place of business address at Dalton House, 60 Windsor Avenue, London, SW19 2RR  (“MC“) who act as an agent for the owners and operators of various properties.

Bookings

The Terms and Conditions relating to the booking of any of the Properties, which constitutes only a short-term let, but which booking is only confirmed once agreed and confirmed in writing by MC (“Booking”) and only for the period of time agreed per the Booking for a period of time (“Rental Period”) which form an agreement between the individual who made the booking (“Hirer”) and MC for all parties residing in the Property for the duration of the Rental Period (“Guest/Guests”)  including the Hirer (‘the Party’). Any changes made to the Terms and Conditions after the Booking is made will be intimated to the Hirer in writing, which includes by email.

The Hirer is responsible for paying any deposit and all balances and sums due in respect of the Booking and the Rental Period. In the event of late or non-payment, the Guests are jointly and severally liable with the Hirer for sums due. The Booking will not be confirmed until such time as MC are in receipt of the Deposit (as defined herein) and have confirmed in writing, which includes email, that the Booking is accepted.

The Hirer and Guests staying at the Property must be as stated on the booking form. Changes to the Hirer and Guests’ details are only permitted if agreed in writing with MC and MC reserve the right to charge an administration fee to change Guest and/or Hirer details.  Guests’ full names and dates of birth must be provided as well as contact details for each Guest.  The Hirer must provide their home address and email and the home address and email for the Lead Guest in the event the Hirer will not be residing at the property during the Rental Period.

The number of people staying in the Property cannot exceed the maximum occupant capacity for each Property. The maximum occupant capacity for each Property can found online at www.menaicottages.com (‘Maximum Capacity displayed on the website property page of the booked accommodation’). If the Hirer and/or the Guests are in any doubt about the Maximum Capacity, enquiries should be made of MC to confirm.

The Hirer must be aged 23 years or over at the time of making the booking. No unaccompanied children under the age of 18 may be left in the Property at any time. Any subletting, sharing or assigning is prohibited unless confirmed by prior agreement in writing from MC.

All correspondence regarding the Booking will be communicated by MC to the Hirer via e-mail, unless the Hirer requests an alternative means of communication which MC agrees to.

Deposit, security payment and payment

A non-refundable deposit of £100 is payable by the Hirer online or by phone no later than 48 hours after the booking is made (“Deposit”). MC will email a receipt for the deposit along with the due dates for the remaining balance(s). This email may be taken as formal acceptance of the Booking (“Booking Confirmation”) but will only be made once both the deposit of £100 has been paid in cleared funds and MC have confirmed availability for, and suitability of, the Booking. The Deposit is a non-refundable Deposit. A Booking will not be confirmed if the deposit is not paid in cleared funds within the 48 hour period.

If a Hirer and/or Guests want to amend the Booking within the period of 60 days prior to the arrival date, (‘Start Date’) of the rental period an additional administration charge of £75 will be payable by the Party.  The 60 day period, and any other period referred to in the Terms and Conditions, is calculated up to midnight on the day before the relevant date.

The balance of the cost of the Booking is payable no less than 60 days prior to the Start of the rental period (the ‘Due Date’). If payment is not received by the Due Date, MC reserves the right to give notice in writing that the reservation is cancelled. Reservations made within 60 days of the Start Date must be paid in full at the time of booking and Booking Confirmation will only be sent once payment in full and in cleared funds is received to the satisfaction of MC. No access to a Property will be allowed unless payment in full, to the satisfaction of MC, is made.

The card paying the Deposit must be in the name of the Hirer unless payment from a third party is accepted by the MC (“Third Party Payer”). The Third Party Payer will also be bound by the Terms and Conditions and these should be provided to the Third Party Payer by the Hirer. The Hirer, Guest and/or Third Party Payer authorise MC to take payment from the credit or debit card which the Hirer, Guest and/or Third Party Payer provided when making the Booking, paying the deposit, otherwise provided to MC or otherwise made payment with for all payments and administration or other charges.

Prices include electricity and/or heating as applicable and supply of laundry including bed linen, towels and tea towels.

In the event of any loss or damage to the Property, its fixtures or fittings the Hirer and the Guests are jointly and severally liable for the full cost of repair and/or replacement of any and all damaged property, including costs, administration and management fees of MC.

In the event the Property is not left in a clean and tidy condition, the definition of which is at the sole discretion of MC, an additional charge for cleaning will be applied to the card making payment of the initial sum and/or the balance(s). See clause 2.4 (above) for consent to take payments from the card details supplied by the Hirer or Third Party Payer. Additional cleaning charges will be applied and there may be additional charges, including costs, administration and management fees of MC.
